Is there a way for me to communicate with the leads via the software tools?

What is the Missed Appointment Follow Up Campaign?

The Plus Package includes a pre-written set of automated texts and emails that are sent to the person if they are marked as "canceled" or "no-show". These messages are immediately sent to the person with a message and link to get back to the calendar to rebook the missed appointment.


This is just another great time-saver for your staff. They simply go into the Appointment Manager and click a button to mark the appointment as "canceled" or "no-show" and the software does the rest automatically!

Can I customize the days and hours available in my online calendars?

Yes. You can customize a lot more than just that! We'll work with you during the onboarding process to get the details of which days and hours you want to make available. You can also customize things like how long the appointment takes, how much extra time to set aside between appointments, how many appointments per hour (or per day) that you will allow, and much more.

Can it schedule for more than one doctor at a time?

Yes, we can assign separate calendars to different doctors (or different service lines) to allow people to book with a specific doctor or specific service.

Can I edit the information that we ask for on the calendar booking forms?

Yes, we can create custom forms that prospects/patients must fill out when booking an appointment. The forms can include just about any kind of information you want them to submit.


However, we should warn you that the more pieces of information you require, the fewer people will book appointments. So you definitely want to be careful with this. But we'll help guide you on this once we get those details from you during the Onboarding Call.

Does it send out appointment confirmations and reminders?

The Online Booking PLUS Package does include automated confirmations and reminders that are sent to the person who scheduled. This should free up a lot of your staff time from having to manually enter each individual appointment and then also send out confirmation notices and multiple reminders.

Does it integrate with my existing practice management software?

In order to integrate with the widest possible group of other software tools, the Online Booking Wizard includes direct integration with Google Calendar as well as Zapier. Most all other calendar programs out there will also integrate with one or both of these. So when someone books an appointment on your calendar, it will be immediately shared with Google calendar, which will send it out to a doctor's personal cell phone or even bring it into other practice management software you may be using.

Can it add the appointments to my doctors' personal calendars?

Yes. This can happen in a couple of different ways.


First, the doctor can install the HIPAA compliant mobile app on their cell phone. (It's a free download from the Apple or Google app stores.) With the mobile app, the doctor will have instant 24/7 access to his calendar and can not only see his/her upcoming appointments but can also see all notes related to the patient as well as the complete communication history with the patient.


Second, if you choose to integrate with a free Google Calendar account (this works on all iPhones too), the doctor can "subscribe" to his/her personal Google Calendar account. So when someone books an appointment on your calendar, it will be immediately shared with that Google calendar, which will sync it to the doctor's personal cell phone calendars. These "work" appointments will be marked on their phone in a way that makes it easy to recognize that this is a "work" appointment (a different calendar color than personal appointments).
